Terms & Conditions

These Terms & Conditions apply to memberships, class packs, individual classes, private sessions, events and other services purchased from YOU Mind, Body & Soul Pilates (“YOU MBS”, “we”, “us” or “our”).

By purchasing or using our services, you agree to these Terms & Conditions together with any specific terms clearly displayed on the relevant product or booking page at the time of purchase.

Please read these Terms & Conditions carefully before purchasing.

Nothing in these Terms & Conditions affects your statutory consumer rights.


1. MEMBERSHIPS

We offer different membership types with different commitment periods. Your membership type, price, class allowance and any additional conditions will be displayed at the point of purchase.

Flexi Memberships

Flexi Memberships are rolling monthly memberships with no fixed 3-month or 12-month minimum commitment.

They may be cancelled at any time by providing one month’s written notice.

Any scheduled membership payment falling due during the notice period remains payable.

Where a final payment is taken, you will receive your normal credits and membership benefits for the full final billing cycle.

For example, if your membership renews on the 1st of each month and we receive your cancellation request on 14th August, your 1st September payment will remain due and will be your final payment. No payment will be taken on 1st October, and the credits associated with your final payment will remain available for their normal billing period.

3-Month Memberships

3-Month Memberships have a fixed three-month commitment.

Unless at least one month’s written notice is provided before the end of the current term, the membership will automatically renew for a further fixed three-month term.

Once a new three-month term begins, you are committed to that term, subject to your statutory rights and the early termination provisions below.

12-Month Memberships

12-Month Memberships have a fixed 12-month commitment.

Unless at least one month’s written notice is provided before the end of the current term, the membership will automatically renew for a further fixed 12-month term.

The membership does not automatically become a rolling monthly membership after the initial 12 months.

Once a new 12-month term begins, you are committed to that term, subject to your statutory rights and the early termination provisions below.

Where required by applicable law, we will provide appropriate information regarding an upcoming renewal.


2. MEMBERSHIP CANCELLATIONS

All membership cancellation requests must be made in writing to:

The applicable notice period begins on the date we receive your written cancellation request.

Flexi Memberships

Flexi Memberships require one month’s written notice and notice may be given at any time.

Any payment falling due during the notice period remains payable.

3-Month & 12-Month Memberships

For fixed 3-Month and 12-Month Memberships, one month’s notice means notice that you do not wish your membership to renew into another fixed term.

Notice must therefore be received at least one month before the end of your current fixed term to prevent the membership renewing.

All payments due within your existing fixed commitment remain payable.

Cancelling a Direct Debit, recurring card authority, removing your payment details or asking your bank to block payment does not constitute cancellation of your membership and does not remove your contractual payment obligations.


3. EARLY TERMINATION OF FIXED-TERM MEMBERSHIPS

3-Month and 12-Month Memberships are intended to be completed for their full commitment period.

Memberships cannot ordinarily be cancelled early due to circumstances including:

  • relocation or moving home;
  • changes to employment or working location;
  • changes to working hours;
  • holidays or travel;
  • financial circumstances;
  • change of mind;
  • changes to personal schedules;
  • lack of attendance; or
  • failure to use available membership credits.

We may permit early termination where a medical condition, illness or injury means that you are unable to safely participate for the foreseeable future.

Reasonable supporting medical evidence may be requested from a GP, consultant or other appropriate registered healthcare professional.

Where your circumstances are temporary and a return to exercise is anticipated, a membership freeze may be offered instead.

Nothing within this section affects statutory rights which cannot legally be excluded.


4. MEMBERSHIP FREEZES
Medical Freezes

Where illness, injury or another qualifying medical circumstance temporarily prevents you from participating, we may agree to freeze your membership.

Reasonable supporting evidence from an appropriate healthcare professional may be requested.

Medical freezes may be reviewed periodically, and further supporting evidence may be requested where an extended freeze is required.

Non-Medical Freezes

Eligible 12-Month Memberships may be frozen once during each fixed membership term for a maximum period of one month for non-medical reasons, subject to approval.

Unless specifically stated otherwise, Flexi and 3-Month Memberships are not eligible for non-medical freezes.

Freeze requests should be submitted in advance wherever reasonably possible.

Effect of a Freeze

A membership freeze pauses rather than shortens your membership commitment.

The full duration of an approved freeze will therefore be added to the end of your existing fixed membership term.

The frozen period does not count towards completion of your 3-month or 12-month commitment.

For example, if you have two months remaining on your membership when a one-month freeze begins, you will still have two months of your commitment remaining when your membership resumes.

Payment dates, membership access and renewal dates may be adjusted accordingly.

A freeze cannot be used to shorten a fixed commitment or replace the applicable cancellation requirements.


5. PREGNANCY & POSTNATAL

Please notify YOU MBS and your instructor if you are pregnant or returning to exercise following pregnancy so that appropriate guidance and modifications can be provided.

You are responsible for ensuring that you are medically fit to participate and should seek advice from your GP, midwife or other appropriate healthcare professional if you have concerns about exercising during pregnancy or following birth.

Pregnancy & Postnatal Membership Freezes

Pregnant members may request to freeze their membership during pregnancy where they no longer wish or are no longer able to continue exercising.

The membership may remain frozen throughout the remainder of the pregnancy and following birth until the member is ready to safely return to exercise.

Pregnancy and postnatal freezes are treated separately from the standard non-medical freeze allowance and are not subject to the standard one-month maximum.

Members should contact YOU MBS in writing when they wish their pregnancy freeze to begin and again when they are ready to return.

For fixed-term memberships, the full period of the pregnancy/postnatal freeze will be added to the end of the existing membership commitment. The freeze therefore pauses rather than reduces the remaining contractual term.

Payment dates, membership access and renewal dates may be adjusted accordingly.

Pregnancy & Postnatal Class Pack Extensions

Where a customer becomes pregnant while holding an active class pack, remaining eligible credits may be extended so that they can be used for up to 12 weeks following the customer’s expected due date.

If you are not ready or medically able to return to exercise within 12 weeks following your expected due date, you must contact YOU MBS in writing before the extended expiry date to request a further extension.

Further extensions will be considered reasonably based on individual circumstances. We may request reasonable supporting information where appropriate.

Extensions must be requested and agreed with YOU MBS and may not be applied automatically.

Proof of Pregnancy

Where a pregnancy-related membership freeze or class-pack extension is requested, we may request reasonable supporting evidence confirming the pregnancy and/or expected due date.

This may include a MATB1 certificate, midwife documentation, appointment letter or other appropriate evidence.

We will only request information reasonably necessary to administer the freeze or extension.

Returning to Exercise Postnatally

Customers should return to exercise only when it is appropriate and safe for them to do so.

Please inform your instructor when returning following pregnancy or birth.

An updated health screening form and/or appropriate medical clearance may be requested where reasonably necessary.

Customers should follow the advice of their GP, midwife, physiotherapist or other appropriate healthcare professional regarding their individual recovery and return to exercise.


6. MEMBERSHIP PAYMENTS & CREDITS

Membership fees are collected automatically using the payment method associated with your account.

You are responsible for maintaining valid payment details and ensuring sufficient funds are available.

Failed payments may result in membership access and/or booking privileges being temporarily suspended until the outstanding amount has been resolved.

We may retry failed payments where permitted by our payment provider and your agreement.

Repeated or unresolved failed payments may result in reasonable steps being taken to recover outstanding contractual payments.

Cancelling or blocking your payment method does not remove your contractual payment obligations.

Membership Credits

Membership credits must be used within their applicable billing period unless otherwise expressly stated.

Unused membership credits do not ordinarily roll over into subsequent billing cycles.

Credits have no cash value and cannot ordinarily be transferred, exchanged or refunded.

Failure to use available credits does not entitle you to a refund, extension or reduction in your membership fee, except where an extension has been expressly agreed, including under our pregnancy/postnatal policy.

Where a final Flexi Membership payment is taken during a cancellation notice period, the member will retain the normal credits associated with that payment for the full applicable billing cycle.


7. PRICING

Prices are displayed at the point of purchase.

We may amend membership, class and package prices from time to time.

Where a change affects an existing membership, appropriate advance notice will be provided and the change will be applied in accordance with the member’s contractual and statutory rights.

Price changes will not retrospectively affect amounts already paid.


8. CLASS BOOKINGS & 24-HOUR CANCELLATION POLICY

Classes are subject to availability.

Purchasing a membership or class pack does not guarantee availability for a particular class, instructor, date, time or location.

If you are unable to attend a booked class, you must cancel your booking at least 24 hours before the scheduled class start time to retain your class credit.

A cancellation made less than 24 hours before the class begins is considered a late cancellation, and the applicable class booking/credit will be forfeited.

Unlimited Membership Late-Cancellation Allowance

Members on an Unlimited Membership receive up to three late cancellations without an additional £15 late-cancellation fee within each individual membership billing cycle.

The member’s individual billing cycle runs from their membership renewal/payment date until the day before their next renewal/payment date.

For example, if your membership renews on the 14th of each month, your billing cycle runs from the 14th of that month until the 13th of the following month.

For the first, second and third late cancellation within that billing cycle:

  • the applicable class booking/credit will be forfeited; but
  • no additional £15 late-cancellation fee will be charged.

From the fourth late cancellation onwards within the same billing cycle:

  • the applicable class booking/credit will be forfeited; and
  • a £15 late-cancellation fee will apply each time.

The allowance resets at the beginning of each new membership billing cycle.

Unused allowances do not roll over into subsequent billing cycles.

This allowance applies only to Unlimited Membership holders.

It applies only to late cancellations and does not apply to no-shows.


9. NO-SHOW POLICY

A no-show occurs where you have a confirmed class booking and do not attend without cancelling the booking.

No-shows are treated separately from late cancellations.

There is no free no-show allowance.

Every no-show, including the first, will result in:

  • the applicable class booking/credit being forfeited; and
  • a £15 no-show fee.

The £15 no-show fee applies each and every time a customer fails to attend a confirmed booking without cancelling.

For Unlimited Members, no-shows do not form part of the three late-cancellation allowance. A no-show therefore results in the applicable booking/credit being forfeited plus the £15 fee, regardless of how many late cancellations the member has had within their billing cycle.

Outstanding late-cancellation or no-show fees may result in booking privileges being temporarily restricted until the outstanding amount has been paid.


10. WAITLISTS

Where a class is full, you may have the option to join a waitlist.

If a place becomes available and you are moved from the waitlist into a confirmed booking, the normal cancellation and no-show policies may apply.

Customers are responsible for monitoring their bookings and maintaining accurate contact and notification details within their account.


11. CLASS CHANGES & CANCELLATIONS BY YOU MBS

Timetables, instructors, class formats, rooms and locations may occasionally change.

We reserve the right to substitute instructors and make reasonable timetable or operational changes.

We cannot guarantee that a particular instructor, class format or timetable slot will remain available throughout a membership.

Where YOU MBS cancels a class, the applicable class credit will normally be returned to the customer’s account.

We may also cancel or combine classes where minimum attendance requirements are not met.


12. CLASS PACKS & DROP-IN CLASSES

Class packs and individual class purchases are subject to the validity and expiry periods displayed at the point of purchase.

Customers are responsible for using credits before their expiry date.

Unused or expired credits are not ordinarily refundable, transferable or extendable unless otherwise agreed by YOU MBS, including under our pregnancy/postnatal policy, or required by law.

Our standard 24-hour cancellation and no-show policies apply.


13. HEALTH & SAFETY

Pilates, Barre and other exercise activities involve physical exertion and carry an inherent risk of injury.

You are responsible for ensuring that you are physically and medically able to participate safely.

You must inform your instructor of any relevant injury, pregnancy, medical condition, recent surgery or other circumstance which may affect your participation.

If you are unsure whether an activity is suitable for you, you should seek advice from an appropriate healthcare professional before participating.

Our instructors cannot provide medical diagnosis or treatment, and classes are not a substitute for professional medical advice.

Customers must follow reasonable safety and technique instructions provided by instructors.


14. GRIP SOCKS

Grip socks are mandatory for Reformer Pilates and for any other class or equipment where YOU MBS identifies them as a safety requirement.

We reserve the right to refuse participation where required safety requirements are not followed.


15. AGE REQUIREMENTS

The general minimum age for participation is 16 years, except for designated parent-and-baby sessions or other sessions expressly approved by YOU MBS.

Participants under the age of 18 may be required to provide consent from a parent or legal guardian.


16. CUSTOMER CONDUCT

We are committed to maintaining a welcoming, respectful and safe environment.

Abusive, threatening, discriminatory, harassing, disruptive or otherwise inappropriate behaviour towards our team, instructors or other customers will not be tolerated.

We reserve the right to refuse entry, remove a customer from a class or terminate a membership in serious circumstances, subject to applicable consumer law.


17. EVENTS, PRIVATE CLASSES & STUDIO HIRE

Events, workshops, private classes, corporate bookings and studio hire may have separate payment, cancellation, refund and booking conditions.

Any specific conditions will be displayed or communicated as part of the relevant booking and will apply alongside these Terms & Conditions.

External instructors or hirers may be required to provide appropriate qualifications and insurance and are responsible for appropriate participant screening, consent and waivers unless otherwise agreed.

Hirers are responsible for leaving the studio and equipment in the condition in which they were provided.


18. REFUNDS & STATUTORY CANCELLATION RIGHTS

Nothing in these Terms & Conditions affects your statutory consumer rights.

Where you enter into a qualifying consumer contract online or at a distance, you may have statutory cancellation or cooling-off rights under applicable UK consumer law.

If you request that services begin during an applicable statutory cancellation period, your refund entitlement may take account of services already supplied where permitted by law.

Except where required by law or expressly agreed otherwise, payments are generally non-refundable once the relevant service, membership period, class, event or package has commenced or been used.

We do not ordinarily provide refunds because of change of mind, failure to attend, failure to use available credits, holidays or changes in personal circumstances or availability.


19. PERSONAL BELONGINGS & STUDIO EQUIPMENT

Customers are responsible for their personal belongings while attending our studios or events.

We cannot accept responsibility for loss, theft or damage except where liability cannot lawfully be excluded.

Customers must use studio equipment appropriately and follow reasonable instructions from our team.

We may seek reasonable repair or replacement costs where studio property or equipment is deliberately or negligently damaged.


20. PHOTOGRAPHY & FILMING

Photography or filming may occasionally take place during classes, events or within our studios.

Where identifiable customers are photographed or filmed for promotional or marketing purposes, consent will be obtained where required.

Please notify a member of the team if you do not wish to appear in photography or filming.


21. CHANGES TO THESE TERMS

We may update these Terms & Conditions from time to time to reflect changes to our services, memberships, business operations or legal requirements.

Where a material change affects an existing customer’s contractual rights or obligations, appropriate notice will be provided where required.

Changes will not retrospectively remove statutory or contractual rights which have already arisen.


22. PRODUCT-SPECIFIC TERMS

Certain memberships, offers, class packs and events may have additional terms clearly displayed at the point of purchase.

Those terms form part of your agreement with YOU MBS.

Where a specific term clearly presented for the product purchased differs from these general Terms & Conditions, the product-specific term will apply to that product, subject to applicable consumer law.


23. CONTACT & CANCELLATION REQUESTS

All membership cancellation requests must be made in writing to:

Please include the name and email address associated with your membership.

The date on which we receive your written request will be used to calculate any applicable notice period.

We will confirm your cancellation and applicable final payment and/or membership end date.

24. GOVERNING LAW

These Terms & Conditions are governed by the laws of England and Wales.

Nothing in these Terms & Conditions removes any statutory consumer rights which cannot legally be excluded.


MEMBERSHIP TERMS AT A GLANCE

Flexi Membership: Rolling monthly. One month’s written notice to cancel. Payments falling within the notice period remain due. Where a final payment is taken, credits remain available for their full billing cycle.

3-Month Membership: Fixed three-month commitment. Automatically renews for another fixed three-month term unless at least one month’s written notice is provided before renewal.

12-Month Membership: Fixed 12-month commitment. Automatically renews for another fixed 12-month term unless at least one month’s written notice is provided before renewal.

Membership Freezes: Approved freezes pause rather than shorten a fixed membership commitment. The full freeze period is added to the end of the fixed term.

Pregnancy & Postnatal: Memberships may be frozen during pregnancy and postnatally until the member is ready to safely return. Class packs may be extended until up to 12 weeks after the expected due date, with further extensions considered following a written request. Reasonable evidence of pregnancy and/or due date may be requested.

Unlimited Late Cancellations: Unlimited Members receive three late cancellations without an additional fee per individual membership billing cycle. The applicable class booking/credit is still forfeited each time. From the fourth late cancellation onwards, the booking/credit is forfeited plus a £15 fee each time.

No-Shows: There are no free no-shows. Every no-show results in the applicable class booking/credit being forfeited plus a £15 fee, from the first no-show onwards.

SUMMER SCULPT PACKAGE (19 FOR YOU) – TERMS & CONDITIONS

  • The Summer Sculpt Package includes 19 class credits for £160.
  • Credits must be used within the validity period stated on purchase and are intended for use during the Summer Sculpt challenge period.
  • This package cannot be used in conjunction with any other membership, class pack, introductory offer or promotional discount.
  • Customers who have recently purchased a class pack are still eligible to purchase the Summer Sculpt Package. To ensure you can make the most of both purchases, the studio may extend the expiry date of your original class pack beyond the Summer Sculpt challenge period upon request.
  • Existing members may upgrade to the Summer Sculpt Package by paying a one-off fee equal to the difference between their current monthly membership fee and £160.
    • Example: A member paying £115 per month would pay a one-off upgrade fee of £45.
  • Summer Sculpt upgrades apply for the duration of the challenge only and do not alter a member’s ongoing monthly membership fee or membership terms.
  • All standard studio booking, cancellation, late cancellation and no-show policies remain in effect throughout the challenge.
  • Credits are non-transferable, non-refundable and cannot be shared between customers.
  • The Summer Sculpt Package is available for a limited time only and may be withdrawn or amended at any time.
  • By purchasing the Summer Sculpt Package, customers agree to these terms and conditions.
